Job Title: Church Secretary
Position Status: Part-time. Flexible hours.
Reports To: Senior Pastor
Purpose: The Church Secretary serves as a vital role to the First Baptist Church of Altoona, FL’s ministry team. The Secretary is responsible for, but not limited to, all administrative tasks that support the overall functions, activities and needs of the church. As the initial point of contact, the Secretary represents the face of the church when engaging with visitors, the public, and the congregation.
Roles and Responsibilities:
• Greet visitors and members as they enter the church facilities and assist them as needed.
• Responsible for all incoming and outgoing communications including but not limited to phone calls, voice/text messages, e-mails, general mail, etc. daily.
• Communicate necessary information in a timely manner with all members of the Church’s Ministry Team, Committee Chairs, Congregation Members, and others as needed regarding pertinent information.
• Maintain an internal master calendar for the Church’s business office, including the Senior Pastor’s calendar daily. Makes necessary arrangements as needed.
• Maintain an online and physical calendar for the Church’s Committees, events, and activities daily. Distribute as necessary.
• Prepare, update, and distribute the weekly prayer list.
• Prepare, update, and distribute the weekly bulletin and other media for Sunday Services.
• Coordinate closely with the Church Clerk and Committee Chairs to maintain accurate and timely records of church and committee meeting minutes, recent updates and help assist with events at minimum weekly if needed.
• Coordinate with the Counting Committee weekly to ensure timely and accurate filing of financial data.
• Coordinate with the Stewardship Committee Chair and Church Accountant monthly in preparation for the monthly business meeting. Draft preliminary and final reports as needed.
• Efficiently organize, maintain, and purge all required records according to federal, state, local and organizational guidelines.
• Maintain the church membership records and mailing list.
• Maintain proper inventory of all supplies weekly at minimum.
• Maintain, communicate, and coordinate the necessary maintenance and repair of all front office equipment and/or facility’s needs.

• Must be a committed, growing Christian, and a member of a local church in good standing who is both Biblically and doctrinally sound.
• Dependable, accessible, and knowledgeable about church ministries.
• Proactively learn about the necessary operational needs of the church according to the Baptist Church Association by-laws.
• Protect and maintain the information of others through strict confidentiality as needed.
• Has excellent clerical and organizational skills.
• Demonstrates good communication, listening skills and the ability to work as a team.
• Has excellent computer skills, able to work with cloud-based programs, and MS Office.
• Possesses good verbal and written communication skills.
• Willingness to learn new skills.
Benefits:
• Paid Time Off-One week of paid time off will be granted following one year of employment beginning on the anniversary date of hire. Paid Time Off will include vacation hours, sick hours, and personal time hours.
